Exporting and importing information using Asta Site Progress
You use the Site Progress tab of the Backstage view to export information from your Asta Powerproject project(s) so that it can be updated using Asta Site Progress. Project information - information relating to those tasks that should be in progress or complete during or just after the current working period - is exported to the Cloud, from where it can be updated by each Mobile user.
Once users have updated the project information remotely using Asta Site Progress, you use the Site Progress tab to import the information back into your Asta Powerproject projects.
You should export and import information on a regular basis. For example, it would be good practice to export uncompleted work every Monday afternoon for it to be updated on-site during the following week, then import the updated information every Monday morning.
Note that you must ensure that nobody has the project(s) concerned open in Asta Powerproject while you export and import project information.
You can export and import information in a number of ways, which are described below.
Exporting information to Asta Site Progress

To export information from one or more projects to all Mobile users who have work to do in the projects:
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- On the Site Progress tab of the Backstage view, in the Displaying jobs field, select Ready to export. A list of exportable jobs appears in the grid - one job for each project.
- Select the check boxes to the left of the jobs that you want to export. You can click Select All to select all jobs at the same time.
- Specify the date (and optionally, the time) up to which you want Mobile users to report progress in the Progress date field. All uncompleted tasks that should be in progress or complete on or before the specified progress date will be exported (plus any additional tasks that should be in progress or complete in the near future after the progress date, if you have configured Asta Site Progress in this way).
The date and time you specify here should relate to the end of the current working period. For example, if you report progress weekly, your Mobile users submit their progress every Friday afternoon and you export project information every Monday, you could enter next Saturday's date in this field; if you report progress fortnightly, you could enter the date of the Saturday after next. - Click Export.
- If you have not previously saved a project's Admin user name and password, the Site Progress Project Login dialog appears. Enter the user name and password and click OK.
The selected jobs are exported to Asta Site Progress, where they can be updated by all Mobile users who have work to do. The message that informs you that an export is taking place disappears when the export is complete.

To export information from one or more projects to one or more specific Mobile users:
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- On the Site Progress tab of the Backstage view, in the Displaying jobs field, select Ready to export. A list of exportable jobs appears in the grid - one job for each project.
- Select the check boxes to the left of the jobs that you want to export. You can click Select All to select all jobs at the same time.
- Specify the date (and optionally, the time) up to which you want Mobile users to report progress in the Progress date field. All uncompleted tasks that should be in progress or complete on or before the specified progress date will be exported (plus any additional tasks that should be in progress or complete in the near future after the progress date, if you have configured Asta Site Progress in this way).
The date and time you specify here should relate to the end of the current working period. For example, if you report progress weekly, your Mobile users submit their progress every Friday afternoon and you export project information every Monday, you could enter next Saturday's date in this field; if you report progress fortnightly, you could enter the date of the Saturday after next. - Right-click one of the selected jobs and select Export for specific users from the menu that appears. The Select User dialog appears.
- Select the check boxes to the left of the users whose information you want to export. You can click Select All to select all users at the same time.
- Click OK.
- If you have not previously saved a project's Admin user name and password, the Site Progress Project Login dialog appears. Enter the user name and password and click OK.
The selected jobs are exported to Asta Site Progress, where they can be updated by the selected Mobile users. The message that informs you that an export is taking place disappears when the export is complete.

To export information from the active project so that it can be updated using Asta Site Progress:
- Open the project from which you want to export information in Asta Powerproject.
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- On the Project tab of the Ribbon, in the Site Progress group, click Export Progress. The Select User for Export dialog appears, displaying a list of the Mobile users who have jobs relating to the active project that are ready for export.
- Select the check boxes to the left of the users whose information you want to export. You can click Select All to select all users at the same time.
- Specify the date (and optionally, the time) up to which you want Mobile users to report progress in the Progress date field. All uncompleted tasks that should be in progress or complete on or before the specified progress date will be exported (plus any additional tasks that should be in progress or complete in the near future after the progress date, if you have configured Asta Site Progress in this way).
The date and time you specify here should relate to the end of the current working period. For example, if you report progress weekly, your Mobile users submit their progress every Friday afternoon and you export project information every Monday, you could enter next Saturday's date in this field; if you report progress fortnightly, you could enter the date of the Saturday after next. - Click OK. Importing information from Asta Site Progress into your projects

To import information that has been updated remotely using Asta Site Progress into your Asta Powerproject projects:
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- On the Site Progress tab of the Backstage view, in the Displaying jobs field, select Ready to import. A list of submitted jobs appears in the grid.
- Select the check boxes to the left of the jobs that you want to import. You can click Select All to select all jobs that the same time.
- Specify the date (and optionally, the time) to apply to the progress period as the report date when the information is imported into Asta Powerproject in the Progress date field.
The date and time you specify here should match the date and time that were specified when the jobs were exported; they relate to the end of the working period that has just finished. For example, if you report progress weekly, your Mobile users submit their progress every Friday afternoon and you import project information every Monday, you could enter last Saturday's date in this field. - Click Import.
- If the specified date and time do not match the date and time that were specified when the jobs were exported, a warning appears, asking you which date and time to apply to the progress period as the report date. Click Yes to use the date that was specified when the jobs were exported and the time that was specified when importing, or click No to use the date and time that were specified when importing.
- If you have not previously saved a project's Admin user name and password, the Site Progress Project Login dialog appears. Enter the user name and password and click OK.
The selected jobs are imported from Asta Site Progress into the relevant projects. The message that informs you that an import is taking place disappears when the import is complete. If a task that has been updated remotely has been deleted, moved into a different chart or summary group, turned into a milestone or archived since its job was exported, a warning appears, advising you to check the Asta Site Progress logs to view details of the problem. - If Asta Site Progress has been configured such that all progress imported from Asta Site Progress must be approved, the Site Progress Approve Progress dialog appears, displaying each individual item of progress in the selected jobs. Examine each item of progress in turn and select either the Accepted or Rejected check box as appropriate, then click Continue when you have reviewed each item.
If Mobile users have taken any photographs and associated them with tasks, the photographs can be viewed in the project by viewing a task's dated notes on the Task tab of the Bar and Task Properties dialog. If a photograph has been associated with a task, it appears as a dated note with a hyperlink that you can click to view the photograph. If you display the Attachments field in the spreadsheet, this field displays the file name or URL of photographs that have been associated with tasks. ALT-click the file name or URL to display the Notes section of the Task tab of the Bar and Task Properties dialog, from where you can view the photograph by clicking it. If a bar contains more than one task, you must display the bar in one-task-per-line-mode before ALT-clicking the file name or URL.

To import information that has been updated remotely using Asta Site Progress into the active project:
- Open the project into which you want to import information in Asta Powerproject.
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- On the Project tab of the Ribbon, in the Site Progress group, click Import Progress. The Select User Job for Import dialog appears, displaying a list of submitted jobs that relate to the active project.
- Select the check boxes to the left of the jobs that you want to import. You can click Select All to select all jobs that the same time.
- Specify the date (and optionally, the time) to apply to the progress period as the report date when the information is imported into Asta Powerproject in the Progress date field.
The date and time you specify here should match the date and time that were specified when the jobs were exported; they relate to the end of the working period that has just finished. Note that each job that is exported to Asta Site Progress can be exported only once. This means that if a Mobile user has access to more than one mobile device, they can only access their project information each working period on one mobile device: they cannot access the same period's information on more than one device. For this reason, if a user upgrades their mobile device, they must ensure that they have submitted all of their project information on their old device before they discontinue using the old device, as they will not be able to access the same project information on their new device; they will only be able to access project information relating to new periods on their new device.
Restoring jobs that are overwritten accidentally
If a Mobile user submits their changes at the end of a working period and you attempt to export a new job to the user before importing the submitted job, Asta Site Progress warns you that if you continue, you will overwrite the Mobile user's last job which has not yet been imported. If you ignore this warning, the information that the user submitted is lost, as the newly-exported job overwrites the job that was submitted but not imported.
Asta Site Progress backs up each job automatically in the Cloud when it is submitted by a Mobile user, so if this happens, you can restore the overwritten job from the automatic backup.
To do this:
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- On the Site Progress tab of the Backstage view, in the Displaying jobs field, select Exported not in use. The grid displays jobs that have been exported, but that have not yet been updated by a Mobile user.
- Right-click the job that you want to restore from the automatic backup and select Restore backup. The exported job is overwritten by the job from the backup. You can now import the job.
If you need to restore an accidentally-overwritten job from the automatic backup, you must do this before exporting any further information to the Mobile user, as carrying out a further export would overwrite the backup.
