Approving or rejecting progress
You can configure Asta Site Progress such that all progress imported from Asta Site Progress must be approved before it is applied to your Asta Powerproject project(s). If you do this, a dialog appears when you import progress, which you can use to approve or reject each item individually. If you do not agree with any of the information that a Mobile user has entered or updated, you can overwrite this information before applying it to the project(s).
Specifying that progress must be approved before being applied to projects
To specify that progress must be approved before being applied to projects:
- Click the Site Progress tab of the Backstage view.
- Click Log in and sign into Asta Site Progress configuration using the window that appears.
- Click Settings. The Site Progress Settings dialog appears.
- Click the Import tab.
- Select the Imported progress requires approval check box to to specify that all progress imported from Asta Site Progress must be approved before it is applied to your Asta Powerproject project(s), or clear the check box to specify that progress can be imported and applied without approval.
- Click OK to save your changes and return to the Site Progress tab of the Backstage view.
Approving and rejecting progress
If Asta Site Progress has been configured such that all progress imported from Asta Site Progress must be approved, the Site Progress Approve Progress dialog appears when you import progress, displaying each individual item of progress in the jobs that you are importing, grouped by chart and summary group to make it easy to identify each task's location in the project.
Depending on the way in which Asta Site Progress has been configured, the dialog may present progress in a number of ways. For example, it may present it in terms of percentage complete, duration complete, duration remaining, or task work quantities completed. If the user has recorded a forecast start date for a task, that date appears in the dialog; if the user has created any new tasks, these are identified as 'New' in the New progress column.
You use this dialog to approve or reject progress as follows:
- Examine each item of progress in turn and select either the Accepted or Rejected check box as appropriate. Alternatively, use the Accept All, Reject All and Clear All buttons to accept or reject all items of progress at once:
- Click Accept All to select the Accepted check box for all items of progress.
- Click Reject All to select the Rejected check box for all items of progress.
- Click Clear All to clear both Accepted and Rejected check boxes for all items of progress - useful if you have made a mistake.
- You can edit any of the information that has been entered or changed by a Mobile user. For example, if a Mobile user has recorded an actual finish date for one of their tasks, you can change this date; if a Mobile user has updated the percentage complete for a task, you can change this percentage. If a Mobile user has not updated a particular field for a task, you cannot edit the field. For example, if a Mobile user has not updated the remaining duration for a task, you cannot change this value.
Editing a field recalculates the values in any related fields automatically. For example, if you reduce the percentage complete from 100% to 75%, the actual finish date will be cleared automatically.
If a Mobile user has updated the remaining duration for a task and you do not approve of the value they have entered, you can either overwrite the value with one of your own, or clear the value in the field. If you clear the value for a task, Asta Powerproject calculates the remaining duration of the task based on its percentage complete progress. - If notes have been recorded against a task,
appears to the left of the task name. Select an item of progress and click Notes to view any notes that have been entered against a particular item. If a Mobile user has entered or changed the notes, you can edit them yourself if required.
- You can click the name of each user at the top of the dialog to email them with information on why you are rejecting the progress they have entered, or to request additional information. The email that is created is pre-populated with information on the user's tasks that you have approved and rejected; you can add other information to the email as required.
- If you want to copy details of the user's progress to the Windows Clipboard, click Copy to Clipboard. You can then paste the copied information into an external application.
- Click Continue when you have reviewed each item. If you have not approved or rejected one or more items of progress, a warning appears. You can choose to approve or reject all of the remaining items; if you click Cancel on this warning, the entire import is cancelled.
Any items of progress that you have approved are applied to the project; the progress recorded against any items that you have rejected is discarded.
