Using risk categories to define why tasks are at risk or blocked

Tasks in a pull plan may become at risk or blocked for a number of reasons, for example adverse weather, transport issues or staff illness. You can use risk categories to define why tasks are at risk or blocked, specify who is responsible for managing the risk and give detailed information about the issue.

To specify that a task is at risk or blocked:

  1. Click Pull Plans in the left pane. The Pull Plans page appears.
  2. Click a pull plan in the list. The Pull Plan Details page appears.
  3. Click Tasks at the top of the page. The Pull Plan Tasks page appears.
  4. Click a task in the list. The Edit Task dialog appears. You can also access this dialog by clicking a task in the whiteboard.
  5. On the Details tab, select 'At Risk/Blocked' in the Task Status field. The task's card appears with a warning triangle drawn across it and you are taken directly to the Risk Log tab of the dialog.
  6. If you specified that the task had a status of 'At Risk/Blocked', you use the fields on the Risk Log tab to enter details of why the task is at risk or blocked:
    • Select a risk category that describes the reason for the task's status in the Risk Category field. For example, a task may be at risk or blocked as a result of adverse weather, transport issues or staff illness.
    • Specify the date on which the risk was identified in the Risk Identified Date field.
    • Select the user who has responsibility for managing the risk in the Risk Owner field.
    • Specify the date by which the risk should be resolved in the Risk Resolve By Date field.
    • Enter details of the risk in the Risk Notes field.
  7. Click Save. Your changes are saved and you are returned to the previous page.

    As well as the task's card appearing with a warning triangle drawn across it on the whiteboard, information appears in the Risk Category, Risk Resolve By Date and Risk Owner columns on the Pull Plan Tasks page, and a warning triangle is displayed on the Risk Log tab, highlighting the fact that the task is at risk or blocked.

Once a risk has been resolved, you should edit the task and give details of the resolution. To do this:

  1. Click Pull Plans in the left pane. The Pull Plans page appears.
  2. Click a pull plan in the list. The Pull Plan Details page appears.
  3. Click Tasks at the top of the page. The Pull Plan Tasks page appears.
  4. Click a task in the list. The Edit Task dialog appears. You can also access this dialog by clicking a task in the whiteboard.
  5. On the Risk Log tab, click the Risk Has Been Resolved toggle, specify the date on which the risk was resolved in the Risk Resolved Date field and enter details of what was done to resolve the risk in the Risk Notes field.
  6. Click Save. Your changes are saved and you are returned to the previous page.

    The task's card no longer appears with a warning triangle drawn across it on the whiteboard, but information still appears against the task in the Risk Category, Risk Resolve By Date and Risk Owner columns on the Pull Plan Tasks page, and a warning triangle is still displayed on the Risk Log tab, highlighting the fact that the task has previously been at risk or blocked. Once you have resolved a risk, the status of the task changes to 'To Do', 'In Progress' or 'Complete', depending on the amount of progress that has been recorded against it.

You can specify that multiple tasks are at risk or blocked by editing multiple tasks at the same time and setting their status to 'At Risk/Blocked' on the Task Details tab of the Edit Multiple Tasks dialog. You can also use this dialog to resolve multiple risks at the same time.
