Submitting programmes to Asta Vision
Depending on the way in which Asta Vision is configured, you may be able to submit programmes as well as check them in. When you submit a programme, your changes are committed to Asta Vision and the programme's status changes to Submitted.
If you have started a collaboration session on a programme, or if you have checked out a programme to an Asta Enterprise server, anyone who has worked on the programme can submit it, provided their access rights in Asta Vision allow them to do this. When such a programme is submitted, both your changes and the changes made by other users are submitted. You can only submit a programme that is in a collaboration session, or that has been checked out to an Asta Enterprise server, if no other users are currently using it.
If Asta Vision is configured to work in 'Asta Powerproject Managed Baselines' mode, if a baseline was checked out alongside a programme, it is submitted along with the programme automatically.
If Asta Vision is configured to work with global libraries and you have checked out the global library file, the global library file is checked in whenever you check in or submit a project. If you try to close a project without checking it back in and you have checked out the global library file, a warning appears telling you that you must check in the global library file. This is to prevent you from leaving it checked out to your computer, which means that other users are unable to access it.
To check in and submit an Asta Vision programme, you must be logged into Asta Vision and have the programme open in Asta Powerproject.
To check in and submit an Asta Vision programme:
- If you are working in a collaboration session, or if the programme has been checked out to an Asta Enterprise server, ensure that all other users have saved their changes and left the collaboration session. You could use Asta Powerproject's chat feature to request that other users do this.
- On the Home tab, in the Vision group, click Submit. Alternatively, click File, then click Submit.
If you have started a collaboration session or if you have checked out the programme to an Asta Enterprise server and one or more other users have the programme open, you are warned that you cannot submit the programme at the current time. Ensure that all other users have closed the programme, then try again.
If no quality check has been applied to the programme in Asta Vision, the Check-In Programme and Submit dialog appears.
If a quality check has been applied to this programme type in Asta Vision, the quality check is executed automatically on the programme. This may involve rescheduling the programme. If the programme passes the quality check, the Check-In Programme and Submit dialog appears. If the programme fails the quality check, one of the following things happens, depending on the way in which Asta Vision is configured:- You are warned that the programme has failed the quality check and asked if you want to continue with the submission. If you click Cancel, the programme is not submitted and the Quality Check Results dialog appears; if you click Continue, the submission goes ahead and the Check-In Programme and Submit dialog appears.
- You are warned that the programme has failed the quality check and that you cannot submit the programme, although you can check it in. Click OK to view the Quality Check Results dialog.
- The submission goes ahead regardless, and the Check-In Programme and Submit dialog appears.
- On the Check-In Programme and Submit dialog, enter a name to apply to the latest revision of the programme in the Revision name field.
- Enter details of the changes you have made to the programme in the Describe the programme changes field.
- Depending on the way in which Asta Vision is configured, you may be able to attach a file to the programme when you check it in or submit it. If you can, an Attachment button is displayed. If you want to attach a file to the programme, click this button and use the dialog that appears to select the file that you want to attach.
If you attach a file when checking in or submitting a programme, a new programme comment is recorded against the programme, with the file attached. In addition to this, the files you attach are attached to the emails that are sent automatically as a result of the check in or submit, as part of your workflow. This makes it easier for reviewers to access any files relating to the checked in or submitted programme. - Select the Copy to chart properties check box if you want to save information about the revision you have just created - including the information you have entered in the Name and Describe the programme changes fields - into the fields on the Chart tab of the Chart/Project Properties dialog.
- Click OK. Your changes are committed to Asta Vision and the programme is submitted.
If the programme had been checked out, the local copy of the programme is moved to your 'Backup Files' folder and it is removed from the list of recent projects on the Open tab of the Backstage view; this prevents you from opening a submitted programme accidentally.
If you are submitting a collaboration session, the collaboration session ends.
If you are submitting a programme from Asta Enterprise server, the programme is deleted from the server automatically.
If you have access rights to submit programmes, you can also submit programmes that have been checked into Asta Vision, without having to check them out first. To do this:
- Click the File tab, then click Open.
- Click Asta Vision. If you are not already logged in, a button appears for you to log into Asta Vision.
- Log into Asta Vision. A list of programmes to which you have access appears.
- Right-click the checked in programme that you want to submit and select Submit Programme. If a quality check has been applied to programmes of this type in Asta Vision and the programme has been checked in previously with a quality check, you may either be warned that the programme has failed a quality check and asked if you want to continue, or warned that you are unable to submit the programme, depending on the way in which Asta Vision is configured.
