Setting up a field evidence template

If you use Asta Siteprogress Mobile to collect field evidence, you use the Field Evidence Template dialog to set up and maintain a template that defines the field evidence that must be collected. A field evidence template comprises two types of entity:

Tasks - the tasks, or activities, for which field evidence must be collected. For each task for which field evidence must be collected, you must create a corresponding task in your field evidence template.

The names of the tasks much match exactly the names of corresponding tasks in your projects in order to collect field evidence. For example, if you have tasks called 'Dig Foundations' in your projects for which you want to collect field evidence, the corresponding task in your field evidence template must also be called 'Dig Foundations'. Calling the task 'Digging Foundations' or 'Foundations' will not work. However, the name matching is case-insensitive, so a task called 'Dig Foundations' in your projects would match a corresponding task in your field evidence template called 'Dig foundations'; or one called 'DIG FOUNDATIONS'; or one called 'dig foundations'. Make your task names detailed and unique to ensure that task matching occurs only when it should.
Evidence items - the individual work items for which field evidence must be collected for each task. For each task in the field evidence template you must create an evidence item in your field evidence template for each individual work item for which field evidence must be collected.

For example, if you have a task called 'Fit Loft Insulation' in your projects - with one instance of this task for each loft that must be insulated on a plot - you may have two different evidence items that need to be collected to prove that this task has been carried out satisfactorily on each plot. These may be 'Loft Insulation Thickness' and 'Complete Coverage of Loft Area'. For each evidence item in the field evidence template, users will need to provide a photograph as evidence using Asta Siteprogress Mobile.

The tasks and evidence items that appear in the field evidence template determine the content of the field evidence reports that you can produce for each plot; the tasks and evidence items appear in the report in the order in which they appear in the field evidence template.

To set up a field evidence template:

Click the Site Progress tab of the Backstage view.
Click Log in and sign into Asta Siteprogress Mobile configuration using the window that appears.
Click Field Evidence. The Field Evidence Template dialog appears.

You can also access the Field Evidence Template dialog by clicking Field Evidence, in the Site Progress group, on the Project tab of the Ribbon.
Use the fields on the dialog to add tasks and evidence items to the field evidence template - see below for details of the fields on the dialog.
Click OK to save your changes and return to the Site Progress tab of the Backstage view.

Explanation of the fields and buttons on the Field Evidence Template dialog

Field/Button	Description
Search	To search for a task or evidence item that already exists in the template, type a few characters of the name of the task or item in this field. The dialog is updated automatically to display only those tasks and evidence items that start with the characters you type. This is useful if you want to edit an existing task or evidence item, add an evidence item to a task, or remove an evidence item from a task. For example, if you type 'dig', the dialog is updated automatically to display only those tasks and field evidence items that start with the characters 'dig' - 'Dig Footings', 'Digging', etc. To display all tasks and evidence items in the dialog, delete all the text in this field.
Evidence tasks and items	A list of the tasks for which field evidence must be collected and, for each task, the individual work items for which field evidence must be collected. The names of the tasks much match exactly the names of corresponding tasks in your projects in order to collect field evidence. For example, if you have tasks called 'Dig Foundations' in your projects for which you want to collect field evidence, the corresponding task in your field evidence template must also be called 'Dig Foundations'. Calling the task 'Digging Foundations' or 'Foundations' will not work. Evidence from tasks - Add task	Click this button to add a new task to the field evidence template. When you add a new task, it appears at the bottom of the task list, together with a new evidence item contained within it. Double-click in the new task and enter its name, then do the same for the new evidence item. Once you have added a new task to the bottom of the task list, select the task and use the Move up and Move down buttons to place it in the appropriate position.
Evidence from tasks - Remove task	Click this button to remove the currently-selected task from the template. If you delete a task, the task's evidence items are deleted as well.
Evidence from tasks - Move up	Click this button to move the currently-selected task up one position in the template. The position of tasks in the template determines the order in which they appear in field evidence reports.
Evidence from tasks - Move down	Click this button to move the currently-selected task down one position in the template. The position of tasks in the template determines the order in which they appear in field evidence reports.
Evidence items - Add item	Click this button to add a new evidence item to the field evidence template. If you click this button with a task selected, the new evidence item appears at the bottom of the selected task's list of evidence items; if you click the button with an evidence item selected, the new evidence item appears directly beneath the selected evidence item. Double-click in the new evidence item and enter its name. Once you have added a new evidence item, select the item and use the Move up and Move down buttons to place it in the appropriate position.
Evidence items - Remove item	Click this button to remove the currently-selected evidence item from the template.
