Exporting information from Asta Vision lists
Some Asta Vision pages comprise lists of objects. For example, the Projects page comprises a list of your projects; the Users page comprises a list of your Asta Vision users. You can export information from many of these lists, in either .CSV or .XLSX (Microsoft Excel) format. You may want to do this to access the information using another application. For example, you may want to construct a spreadsheet containing information about each of your projects.
Before exporting information, you may want to filter the items that appear in the list, so that only information on certain items is exported. For example, you may want to filter the list on the Projects page so that it includes only projects that take place in a particular region, projects with a particular manager, or projects that are ready for deletion.
To export information from a list for use in another application:
- Filter the items that appear in the list if required.
- Right-click any of the items in the list and select Export - CSV Export, or Export - Excel Export, depending on the format in which you want to export the information. The information from the list is exported to a file of the selected format, located in your 'Downloads' folder.
Exporting information from a programme dashboard
If you display a dashboard view of a programme, you can export the entire dashboard or a specific element of the dashboard, in PDF or Microsoft Excel format, or as an image. You may want to do this to access the information using another application. For example, you may want to incorporate programme dashboard information in a report.
You may want to export information from a programme dashboard in PDF format to make it available to colleagues who do not have access to Asta Vision, or to print the information. You can specify the orientation and paper size of the resulting PDF file, and manipulate the scale of the PDF so that it spans over the appropriate number of pages. If you span the information over more than one page and print out the resulting PDF file, you can fit the pages together like the tiles of a mosaic to produce one very large printout of the information, that would be suitable for pinning to a noticeboard.
To export information from a programme dashboard view in PDF format:
- Display a dashboard view of the appropriate programme.
- If you want to export the entire dashboard, click at the top-right of the dashboard; if you want to export a specific element of the dashboard, click at the top-right of the individual element. An array of export options appears.
- Click . The Export to PDF - Programme Dashboard dialog appears.
- Enter a name to apply to the file that will be created in the File Name field.
- Use the Page Layout radio buttons to specify the orientation of the resulting PDF file. If you click Auto, Asta Vision selects the most appropriate orientation and scaling for the data you are exporting automatically; if you click Portrait or Landscape, you can use the Scale Mode field to configure the scale of the PDF so that it spans over the appropriate number of pages
- Specify the paper size of the resulting PDF file in the Size field, for example 'A4', 'A3' or 'Letter'.
- If you want to display a title at the top of the resulting file, select the Show Title check box and enter a title in the Title field; clear the Show Title check box to create the file without a title at the top.
- If you have chosen to print in portrait or landscape, use the Scale Mode field to configure the scale of the PDF so that it spans over the appropriate number of pages:
- Select 'None' to allow Asta Vision to select the most appropriate scale for the data you are exporting. Using this mode, you cannot specify the number of pages to use.
- Select 'Use Scale Factor' to specify the scale at which to export the information, in a Scale Factor field. For example, enter a scale factor of '2' to create a PDF file that displays the information at twice its original size; enter a scale factor of '5' to create a PDF file that displays it at 5 times its original size.
- Select 'Auto Fit To Pages Width' to specify the number of pages that the resulting PDF file should cover from left to right, in a Auto Fit Page Count field. For example, enter a page count of '3' to print the information in a mosaic with a width of 3 pages; enter a page count of '5' to print the information in a mosaic with a width of 5 pages. The greater the number of pages you specify, the larger the information is displayed. The height of the mosaic is calculated automatically.
Click Reset at any time to set the fields on the dialog back to their default settings.
- Click Export. The file is created using the settings you have specified. It is saved in your 'Downloads' folder, and a link to it appears in your web browser.
To export information from a programme dashboard view as an image:
- Display a dashboard view of the appropriate programme.
- If you want to export the entire dashboard, click at the top-right of the dashboard; if you want to export a specific element of the dashboard, click at the top-right of the individual element. An array of export options appears.
- Click . The Export to Image - Programme Dashboard dialog appears.
- Enter a name to apply to the file that will be created in the File Name field.
- If you want to display a title at the top of the resulting file, select the Show Title check box and enter a title in the Title field; clear the Show Title check box to create the file without a title at the top.
- Specify the type of image you want to create in the Image Format field. You can choose from PNG, GIF or JPG format.
- Specify the resolution in DPI (dots per inch) to apply to the resulting file in the Resolution (dpi) field. The higher the number you enter, the better the quality of the resulting image - and the larger the file size. Choose a lower resolution if a small file size is your priority - for example, if you are planning to attach the resulting image to an email; choose a higher resolution if image quality is your priority.
- Click Export. The file is created using the settings you have specified. It is saved in your 'Downloads' folder, and a link to it appears in your web browser.

To export information from a programme dashboard view in Microsoft Excel format:
- Display a dashboard view of the appropriate programme.

- Click . The Export to Excel - Programme Dashboard dialog appears.
- Enter a name to apply to the file that will be created in the File Name field.
- Specify the Microsoft Excel format of the file you want to create in the Excel Format field. Choose XLSX to create a file in the more recent Microsoft Excel format, introduced in 2007; choose XLS to create a file in the Microsoft Excel format that was in use before 2007.
- Click Export. The file is created using the settings you have specified. It is saved in your 'Downloads' folder, and a link to it appears in your web browser.
