Creating a new work pattern
Some work patterns are created automatically as part of the calendar creation process when you use the Calendar Wizard. The instructions that follow show how to create new work patterns manually. You may want to do this if you want to assign one work pattern to more than one calendar, in which case you should create the work pattern first, then create the calendars that will use the work pattern and assign the work pattern to them.
To create a new work pattern:
- Open Library Explorer.
- Click Work Pattern in the tree view.
- Right-click a blank area of the list view and select New Work Pattern. A new work pattern appears in the list view with the cursor flashing in the Name column.
- Type a name for the work pattern, then click away to deselect it. You can now create the shifts within the work pattern. Each shift will contain a selection of working and non-working periods.
- Right-click the new work pattern folder and select New Shift.
- Type a new name for the new shift, then click away to deselect it. For example, if this shift relates to a day of the week, you could name it after the day of the week.
- Right-click the new shift within the work pattern folder and select New Time Entry. The Edit Time Period dialog appears.
- Enter a start and end time for the time entry and specify whether it relates to working time, non-working time, or another exception, then click OK.
- Repeat steps 7 to 8 to create all the working and non-working time entries within the shift. If a shift relates to a day of the week, the working and non-working time entries within the shift should total 24 hours.
- Repeat steps 5 to 8 to create all the shifts within the work pattern (for example, one for each day of the week). Do not forget to create shifts for days that do not include any working time. For example, if no work takes place each Sunday within this work pattern, you should create a single non-working time entry for the Sunday shift that encompasses the entire day.
- Once you have created all the shifts within the work pattern, you must align the shifts of the work pattern so that each shift starts on the correct day. For example, if the work pattern consists of seven days, you could align the Monday shift to a date on which a Monday falls. The other shifts will then fall on the correct day automatically. To do this, click Work Pattern in the tree view, select one of the work pattern's shifts in the Default Offset column and enter the date to which you want to align the shift in the Default Alignment Date column. For example, if you select a Monday shift, select any date on which a Monday falls.
You can move and copy working periods between shifts, and shifts between work patterns, using right-click menu commands or drag and drop. When using drag and drop techniques, hold down CTRL to copy items instead of moving them. For example, if you want to create a new work pattern that is very similar to an existing work pattern, copy the shifts from the existing work pattern into the new one. If three days in a work pattern share the same working and non-working periods, copy the periods from one shift and paste them into the two others.
When you drag a shift from one work pattern and drop it onto another:
- If the destination work pattern is not expanded, the shift is appended to the work pattern.
- If the destination work pattern is expanded, you can choose where to insert the shift within the work pattern.
Assigning a work pattern to a calendar
