Project information fields

For each field listed below, the following information is given:

  • Description - the information displayed by the field when added to the spreadsheet or to a text annotation.
  • Parameters - any additional, optional parameters that you can use to modify the information that the field displays or the way in which the information is displayed.
  • Editable? - whether the field is editable when displayed in a spreadsheet column. If a field is editable in the spreadsheet, you can change the data displayed in the column to edit the properties of the corresponding bar, task or allocation.

Note that these fields only apply where you have built up a portfolio of projects by indicating that individual charts and summary groups represent projects.

Is project

Description Whether or not an expanded task or summary task has been identified as representing a project.
Parameters
  • Data - whether you want to display information relating to the live data or to a specific baseline.
  • Specific task - specify specific task(s) on a multi-task bar to which you want the field to refer if required.
Editable? Yes

Percentage likelihood

Description The likelihood, in percentage terms, of a project going ahead. This field only applies to expanded tasks and summary tasks that have been identified as representing a project.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? Yes (only for expanded tasks and summary tasks that represent projects)

Project

Description The name of a project, or the project in which an item is located. If a project is contained within one or more other projects within the hierarchical structure of a portfolio of projects, this field also displays the names of the higher-level containing project or projects, from the programme chart down the project hierarchy.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project baseline creation date

Description The date on which an item's project baseline was created. You create project baselines by associating different baselines to individual projects within a portfolio.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project baseline description

Description The description of an item's project baseline. You create project baselines by associating different baselines to individual projects within a portfolio.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project baseline location

Description For local projects, the path and file name of an item's project baseline, or "Embedded" for embedded baselines; for server-based projects, the name of the data source in which the project baseline is located. You create project baselines by associating different baselines to individual projects within a portfolio.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project baseline name

Description The name of an item's project baseline. You create project baselines by associating different baselines to individual projects within a portfolio.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project baseline update date

Description The date on which an item's project baseline was last updated - ie the date on which new and changed data was last merged into the project baseline. You create project baselines by associating different baselines to individual projects within a portfolio.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project delivery date

Description

The date on which a project must be delivered. You can specify a delivery date for the programme of projects, and a delivery date for each chart or summary group that has been identified as being a project. You can use a project's delivery date as a deadline when rescheduling. If you do this, rather than using the finish date of the last task in the project, the project's late and free finish dates are set to the delivery date when rescheduling and float is calculated out to the project's delivery date. A delivery date provides a deadline for all tasks in the project, so any tasks that exceed the delivery date have negative float (ie they become super-critical) following a reschedule.

The delivery date is also used when checking the quality of a schedule to calculate the project's maximum duration, which is the difference between the project's start date and its delivery date.

Specifying a delivery date for a project

Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project group path

Description The path of the project in which an item is located, from the programme chart down the project hierarchy, naming each parent task in turn. Note that as this field displays the hierarchical path of the project in which an item is located - rather than the path of the item itself - the field does not display the name of the project itself.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project manager

Description The name of the individual responsible for managing a project, or the project in which an item is located.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? Yes (only for expanded tasks and summary tasks that represent projects)

Project manager email

Description The email address of the individual responsible for managing a project, or the project in which an item is located.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? No

Project priority

Description In numerical terms, the priority of a project, or of the project in which an item is located.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? Yes (only for expanded tasks and summary tasks that represent projects)

Project risk

Description In numerical terms, the risk of a project, or of the project in which an item is located.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? Yes (only for expanded tasks and summary tasks that represent projects)

Project status

Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
Editable? Yes (only for expanded tasks and summary tasks that represent projects)

Project type

Description The recorded type of a project, or of the project in which an item is located.
Parameters Data - whether you want to display information relating to the live data or to a specific baseline.
