Creating a new filter using the Filter Wizard

The type of filter you create depends on the type of view that is currently active. If you create a filter while the current view displays the project hierarchy, you will create a bar and task filter; if you create a filter while the current view shows an RBS or CBS view, you will create an RBS/CBS filter.

To create a new filter using the Filter Wizard:

  1. On the View tab, in the View Data group, click the Filter dropdown and select New. The Filter Properties dialog is displayed.
  2. In the Identification group of fields, enter a name for the filter in the Name field and select the Display on menu check box if you want the filter to appear on the Filter dropdown in the View Data group on the View tab, making it easier to apply the filter. If you want to assign a category to the filter, select a filter category in the Category field. Categorising filters makes it easier to find the filter you are looking for, for example when selecting a filter to apply to the current view. Whenever you select a filter, they are arranged into their categories, with any filters that do not belong to a category being displayed below the filter categories that do exist.
  3. Subheadings, which display the chart path of the filtered objects, are displayed in filtered views by default. Click Subheading Properties to display the Filter Subheading Properties dialog, in which you specify the appearance of the subheadings.
  4. If you are creating an RBS/CBS filter, click the View Scope button to display the RBS/CBS Scope dialog, in which you can select the charts and summary groups in the project hierarchy from which you want to include allocations in the filtered view. For example, you may want to limit the filter to allocations from a particular branch of the hierarchy. Note that this button appears on the dialog only when you create a filter while the current view shows an RBS or CBS view.
  5. Click Insert to insert a new criterion into the filter, or select an existing criterion and click Edit to change its details. The Filter Wizard appears. Follow the steps in the Filter Wizard to specify the filter criteria.
  6. Follow the instructions on each screen to set up the filter criterion. At the last screen, click Finish to create the criterion and add it to the filter.

    To create another criterion for the same filter, click Insert then work through the Filter Wizard again. You can add as many criteria as you need.

    To delete a criterion, select it from the grid control then click Delete.
  7. All criteria are enabled by default. To turn off a criterion, clear its Enabled check box.
  8. If you want to make the filter search for objects that do not meet a criterion, rather than those that do meet the criterion, select the criterion's Not check box.
  9. Select Objects must meet ANY criteria to allow objects that meet any one of the criteria through the filter, or select Objects must meet ALL criteria to allow only objects that meet all the criteria through the filter.
  10. If you want to apply multiple filter criteria consecutively, select the Append criteria results radio button. If you select this option and an expanded or summary task meets a criterion, it is passed on to the next criterion along with its contents, regardless of whether the contents meet the criterion or not; the following criterion is then applied to all the items that are passed to it.
  11. Select the If summary/expanded tasks pass the filter show their contents check box to allow everything within an expanded or summary task through the filter, where the expanded or summary task matches the criteria, even if all the contents does not, or clear the check box to exclude items that do not match the criteria.
  12. Select the Retrieve whole bar lines check box to allow whole bars through the filter even if only one task on a bar matches the criteria.
  13. Select the Hide progressed sections when filter applied check box to omit all progressed sections of tasks and allocations from the filtered view, or clear the check box to display both progressed and non-progressed sections.
  14. Select the Show only relevant allocations check box to omit all allocations that do not meet the filter criteria from the filtered view, or clear the check box to display all allocations against tasks that meet the criteria, regardless of whether the allocations themselves meet the criteria.

    This check box only applies to filters that filter tasks based on the cost centres or resources that are assigned to them. For example, if you filter for tasks with allocations of resource 'A' and you have a task with allocations of resources 'A' and 'B', the task will be included in the filter along with both resource allocations, unless you select Show only relevant allocations, in which case only the allocation of resource 'A' will appear against the task.
  15. Click OK to create the filter and apply it to the active view.

The active view is redrawn to display all the objects in that view that meet the filter criteria. The name of the current filter is displayed at the right-hand side of the status bar. When a view has both a filter and a sort/group applied, both the filter name and the sort/group name are displayed.

To turn off the current filter, click the Filter dropdown in the View Data group on the View tab and select No Filter. Alternatively, click the name of the filter in the status bar to remove it from the current view.

When setting up a filter to filter for tasks with allocations of a particular resource, you are asked to specify the resource. You can choose to be prompted for the resource whenever you run that filter. This is useful if you intend to run the same filter for other resources. Other filters may prompt you to specify similar information such as codes, calendars or cost centres.

When a task within a summary group matches the filter criteria, its owning summary task is allowed through the filter unless you explicitly choose to filter out summary tasks on the first screen of the Filter Wizard.
