Exporting projects to Microsoft Project

You can export Asta Powerproject projects to XML file format so that they can be opened in Microsoft® Project. You can also export Asta Powerproject projects directly to files in Microsoft Project's MPP file format, provided that you have Microsoft Project installed on the same computer as Asta Powerproject.

As well as being able to export entire projects to Microsoft Project, if you have Microsoft Project installed on the same computer, you can choose to export only the current branch or view to XML or MPP format.

Note that due to the limitations of the XML and MPP file formats, some of the information from your projects may be lost as much of the data cannot be exported to XML and MPP format.

To export a project into Microsoft Project XML or MPP format:

  1. To export the entire project, click the File tab, click Import/Export, then click Export to Microsoft Project; to export only the current branch or view, right-click a chart or summary group in the project view and select Export branch or view to Microsoft Project. The Export dialog appears. Note that you can export more than one branch at the same time by CTRL-selecting them before right-clicking.
  2. Navigate to the folder in which you want to save the exported project.
  3. Enter a new name for the exported project if required.
  4. Select the format in which to export the project in the Save as type field.
  5. Click Save. The introductory page of the Microsoft Project Export Wizard appears.
  6. Click Next to access the following page. The Select the scope of the export page appears.
  7. Click the appropriate radio button to specify which parts of the project to export.
  8. Click Next to access the following page. The Select objects to export page appears.
  9. Select the Add constraint flags to tasks with no incoming links check box if you want to add a start constraint flag to tasks with no incoming links in the exported project. You may want to do this in order to prevent Microsoft Project from automatically moving such tasks to the start date of the project. If a bar contains more than one task, the constraint flag is added to the first task on the bar only.
  10. Select the Export income as negative costs check box to convert any positive income into negative costs and any negative income into positive costs in the resulting file, or clear the check box to remove any income from the resulting file altogether.
  11. Select the Export sub-headings check box to convert subheadings into hidden tasks that have the name of the subheading bar in the resulting file, or clear the check box to exclude subheadings when exporting the project.
  12. Select the Export cost allocations check box to include cost allocations in the export, or clear the check box to exclude them.
  13. Select the Export resource allocations check box to include consumable and permanent resource allocations in the export, or clear the check box to exclude them. If you exclude resource allocations from the export, any costs that are associated with the allocations are also excluded.
  14. Select the Export code libraries check box to include code libraries in the export, or clear the check box to exclude them. If you choose to export code libraries, an additional page of the wizard enables you to choose which code libraries to export.
  15. Click Next to access the following page.
  16. If you have chosen to export code libraries, the Select which code libraries to export page appears. Select the check boxes to the left of those code libraries that you want to include in the export and clear the check boxes to the left of those that you want to exclude. Note that only code library entries that are assigned to tasks and resources are included in the export; any code library assignments on allocations are not exported.
  17. Click Finish to close the wizard and export the project.

The project is exported into the specified file format and can now be opened in Microsoft Project.
