Archiving data from a project

To archive data from a project:

  1. Click Archive on the main Archive Manager screen. The Archive Wizard appears.
  2. You use the first screen of the wizard to select the project from which you want to archive data. This screen displays a list of the Enterprise servers whose details have been entered into Archive Manager. Click the + next to the Enterprise server on which the project is located to view a list of the server's data sources.

    If a server appears in grey, you cannot archive data from it as one or more users are currently logged into the server. You can click a greyed-out server to view a list of the users that are currently logged into it.
  3. If the server is password-protected, the Enterprise Authentication dialog appears for you to enter the username and password that are required to access the server.
  4. Click the + next to the data source that contains the project to view a list of the projects within the data source.
  5. Select the project from which you want to archive data, then click Next to view the second screen of the wizard. You use this screen to enter the username and password that are required to access the project.
  6. Enter the username and password of the user who has access rights to archive data from the project, then click Next to view the third screen of the wizard. You use this screen to select the data that you want to archive from within the project.
  7. Navigate through the hierarchy of the project and select the check boxes next to the charts and summary groups that you want to archive, noting the following points:
    • When you archive a chart or summary group, everything it contains must be archived, so if you select a chart or summary group that contains subordinate charts or summary groups, the subordinate charts and summary groups are selected for archiving automatically.
    • Data from a project from which data is currently booked out cannot be archived.
    • Items that are currently appearing in timesheets cannot be archived, so you cannot select charts or summary groups that contain such items.
    • Bars that contain archived expanded or summary tasks cannot be archived. For this reason, it is good practice to archive data at as high a level as possible in the project hierarchy.
  8. When you have selected all of the charts and summary groups that you want to archive, click Next to view the fourth screen of the wizard. You use this screen to specify where you want to archive the data to.

    If you have archived data from the selected project before, you can choose to archive data into an existing archive; if this is the first time you have archived data from the project, you must archive the data into a new archive.
  9. To archive the data into a new archive, click the New archive radio button, select the data sources in which to create the project and baseline archives, then enter a name and description for the archive in the Name and Description fields; to archive the data into an existing archive, click the Existing archive radio button and - if there is more than one existing archive associated with the project - select the archive in the field to the right.

    Note that you must select a baseline data source even if the project does not have any baselines associated with it. This is so that if the project is subsequently baselined and then a further archive is carried out, the Archive Wizard knows where to archive data from the baseline.
  10. Click Finish to archive the selected data from the project. A progress indicator indicates the stage of the archiving process. The archiving process comprises the following stages:
    1. The items that are to be moved from the project into the project archive are collated.
    2. The items that are to be moved from the project baseline into the baseline archive are collated. If more than one baseline is associated with a project, this stage is repeated once for each baseline.
    3. The items are moved from the project and its baseline(s) into the project archive and baseline archive(s).
  11. Once the archive is complete, the progress indicator disappears and the Operation Complete dialog appears. This dialog informs you that the archive has been completed and lists any issues that were encountered.
