Message Fields dialog
You use the Message Fields dialog to specify additional information to include in the tasks, appointments or emails that are published using Microsoft Outlook® or a specific SMTP mail server to inform permanent resources of their allocations.
The information that you select on this dialog is added to the end of the information relating to each task, whether you have chosen to publish in detailed or compact format.
Note that the information that you select on this dialog relates to the tasks in your project, rather than to the resource allocations themselves. For example, if you choose to publish information about the priority of tasks, this information is only published if a priority has been assigned to a task; if a priority has been assigned to one of the task's resource allocations but not to the task itself, this information is not published.

- On the Allocation tab, in the Tools group, click the Publish dropdown and select Email and Publishing Options. The Email and Publish Options dialog appears.
- Click Fields.

Field | Description |

Unique task ID | Select this check box to include the unique task IDs of the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
Overall percent complete | Select this check box to indicate the overall percentage progress that has been recorded against the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
Project name | Select this check box to include the name of the projects in which the relevant tasks are located in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
Notes | Select this check box to include any notes that have been recorded against the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
WBS | Select this check box to include the WBS codes of the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
Priority |
Select this check box to include the priority of the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information.
If a task has no priority defined but its bar does, the bar priority is included if this check box is selected. |
Code libraries | This field displays all code libraries. Select the check box to the left of a code library to indicate which codes from the library have been assigned to the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
User fields | This field displays all task-type user-defined fields. Select the check box to the left of a user-defined field to include its contents for the relevant tasks in the tasks, appointments or emails that inform permanent resources of their allocations, or clear the check box to omit this information. |
How do I...

- In the Standard fields group, select a check box to include that item of information relating to the relevant tasks in the tasks, appointments or emails, or clear a check box to omit the information.
- In the Code libraries field, select the check box to the left of a code library to indicate which codes from the library have been assigned to the relevant tasks in the tasks, appointments or emails, or clear the check box to omit this information.
- In the User fields field, select the check box to the left of a user-defined field to include its contents for the relevant tasks in the tasks, appointments or emails, or clear the check box to omit this information.
- Click OK.
