Calendar Properties dialog - Calendar tab
You use the Calendar tab of the Calendar Properties dialog to view an overview of the selected calendar on a year-by-year basis. You can use this tab to move between different years, to assign work patterns and exceptions (for example holidays or overtime) to days on the calendar and to display the working and non-working hours for days on the calendar. You can also copy a day's exceptions to one or more other calendars and print a representation of the current year.

To access the Calendar Properties dialog, right-click a calendar in Library Explorer or the project view and select Properties.

Each day of the year is displayed in a separate cell. Shading is used to indicate the amount of working time for each day. The key at the top of the tab displays the colours that are used to indicate the amount of working time.
For example, if white indicates a day with no working hours and red indicates a day with the maximum amount of working time, shading appears as follows:
Click a cell to select it; you can select a range of days by clicking the first day in the range, holding down SHIFT and clicking the last day in the range and you can select more than one non-consecutive days by CTRL-clicking them. |
Add Exception |
Click this button to add an exception to the dates that are currently selected. You can add two types of exception to days on the calendar: working exceptions, which describe irregular working time such as overtime, and non-working exceptions, such as holidays or a hospital appointments.
You can also assign an exception to the calendar by dragging and dropping one from Library Explorer onto the range of days, by right-clicking a day and selecting Assign exception, or by using the Exception Assignments tab.

How do I...

Click the appropriate year button at the top of the tab.

- Double-click the day in which you are interested, or right-click the day and select View working hours. The Working Hours dialog appears.
The Working Hours dialog displays the day's working and non-working periods in a list. A symbol to the left of each period indicates whether the period relates to working or non-working time: asymbol to the left of a period indicates working time; a
symbol indicates non-working time. Exceptions, ie additional periods of working or non-working time that have been added to the day in addition to the normal work pattern such as overtime or hospital appointments, are highlighted in purple text.
- To simplify the list of working and non-working periods, you can choose to hide standard non-working periods - ie those that are taken from the normal work pattern - from the list, leaving just working periods and exceptions displayed. To do this, clear the Show generic non-working periods check box. Reselect the check box to display all working and non-working periods in the list.
- Click Close to close the Working Hours dialog and return to the Calendar Properties dialog.

- Select the day, or days, to which you want to assign a work pattern.
- Right-click one of the selected days, then select Assign work pattern - Work pattern name, where Work pattern name is the name of the work pattern you want to assign to the day.

- Select the day, or days, to which you want to assign an exception.
- Click Add Exception. The Add Exception dialog appears.
- Select the type of exception that you want to add, for example Holiday or Overtime, in the Exception type field.
- To create an exception with start and end times that do not match a standard morning, afternoon or full day - for example, a hospital appointment that takes two hours - click the Specific start and end times radio button then enter the times at which the exception starts and ends in the From and To fields.
- To create an exception that covers a full morning, afternoon or working day as defined by the work pattern that applies on the selected day(s), click the From work pattern periods radio button then use the Morning and Afternoon check boxes to indicate whether the exception covers the morning or afternoon only, or the full day.
- To create an exception that covers an entire twenty-four hour period, click the 24 hour exception radio button.
- Click Add. If a new exception overlaps with one or more existing exceptions, the Overlapping Exceptions dialog appears, prompting you to specify whether the new exception should replace (or partially replace) the existing exception, or whether the new exception should be cancelled.

- Select the day, or days, from which you want to delete all exceptions.
- Click Delete Exception.

- Select the day, or days, from which you want to copy exceptions to another calendar.
- Right-click one of the selected days and select Copy exceptions to. The Copy Exceptions dialog appears.
- Click the Selected dates only radio button if you only want to copy exceptions from the days that are currently selected on the Calendar tab of the Calendar Properties dialog, or click the Entire calendar radio button to copy exceptions from all days in the calendar.
- Select the type(s) of exception you want to copy in the Of these types field. Alternatively, click Select all types if you want to copy exceptions of all types from the selected day(s) to other calendars.
- Select the calendar(s) to which you want to copy exceptions in the To these calendars field. Alternatively, click Select all calendars if you want to copy exceptions to all other calendars.
- Click Copy exceptions to copy the selected exception(s) to the selected calendar(s).

Click Print.
The Calendar Properties dialog may or may not display two tabs that contain advanced calendar functionality: Work Pattern Assignments and Exception Assignments. If these two tabs are not currently displayed, you can click More >> to display them. If they are currently displayed, you can click Less << to hide them from view.
