Cost and income fields

For each field listed below, the following information is given:

  • Description - the information displayed by the field when added to the spreadsheet or to a text annotation.
  • Parameters - any additional, optional parameters that you can use to modify the information that the field displays or the way in which the information is displayed.
  • Editable? - whether the field is editable when displayed in a spreadsheet column. If a field is editable in the spreadsheet, you can change the data displayed in the column to edit the properties of the corresponding bar, task or allocation.

Actual cost

Description The amount of a task or allocation's cost that has been completed. You can use this field to enter actuals against tasks where resource bars are not displayed in a project.
Parameters
  • Apply view filter - select this check box if you want values in the table to include only those tasks and allocations that are included in whichever filter is currently applied, or clear the check box to include all tasks and allocations in values, regardless of whether they match the filter criteria. This check box does not affect rolled-up values - ie values that relate to summary tasks, expanded tasks and hammocks.
  • Filter rolled-up values - select this check box if you want rolled-up values in the table - ie values that relate to summary tasks, expanded tasks and hammocks - to include only those tasks and allocations that are included in whichever filter is currently applied, or clear the check box to include all tasks and allocations in rolled-up values, regardless of whether they match the filter criteria.
  • Data - whether you want to display information relating to the live data or to a specific baseline.
  • Dates - specify a date range if required.
  • Specific task - specify specific task(s) on a multi-task bar to which you want the field to refer if required.
  • Cost centre - the cost centre about which you want to display information.
  • Rolled/Direct - whether to display directly-allocated values or rolled up values (for parent tasks only).
  • Progress period - the progress period about which you want to display information.
  • Cumulative - if you specify a progress period, whether to display the cost that was completed within that progress period or a cumulative amount, ie all cost that has been completed up to the end of the progress period.
  • Override currency - the currency in which to display the information.
  • Cost type - specify the type of cost to which you want the field to refer, for example the cost of pending demand allocations only, the cost of scheduled allocations only, fixed costs only, etc. The default setting here displays the total cost of all allocations, excluding any satisfied demand.
Editable? Yes (editable for tasks only if there is a single matching cost allocation)

Actual income

Description The total task or allocation's income that has been completed. You can use this field to enter actuals against tasks where resource bars are not displayed in a project.

Actual net

Description The difference between the total task or allocation's cost and income that has been completed.
Parameters

Budgeted cost

Description

A field primarily intended for use in projects that have been imported from, or that are intended to be exported to, Primavera® software.

 

In Primavera software, the Budgeted cost field can be used to record the budget cost of items without the need to use a baseline. When you import a project from Primavera software, resource and cost allocation information from this field in Primavera software is imported into this field in Asta Powerproject. You can view and edit this field against resource and cost allocations; the value is calculated for tasks and bars by summing the budgeted cost of the tasks' and bars' allocations. You can choose to calculate a number of earned value fields using the budgeted cost that has been recorded in this field rather than using a value from a baseline.

 

Although this field is primarily intended for use in projects that have been imported from, or that are intended to be exported to, Primavera software, you may also find it useful in other projects, as a simple way of recording the budget cost of items without the need to use a baseline.

Cost

Description

A task or allocation’s total cost. This is effectively the planned total cost, as it does not take account whether costs have actually been incurred yet. If a cost centre is specified but no allocation exists, entering a figure into a cell for a task creates an allocation of the cost centre; if you enter a zero amount against an allocation, the allocation is deleted unless the Remove cost allocations if value is set to zero check box on the Spreadsheet tab of the Options dialog is cleared.

 

If no cost centre is specified (so that the field relates to costs from all cost centres):

  • Entering a cost figure into this field when there is no existing cost amount attributes the cost to the default cost centre.
  • Entering a cost figure into this field when there is already a cost amount present that comes from a single cost centre attributes the cost to the same cost centre.
  • You cannot edit this field when there is already a cost amount present that comes from two or more cost centres.

Cost per use

Description The cost that is charged whenever a consumable resource is assigned to a task.
Parameters

  • Override currency - the currency in which to display the information.
  • Cost type - specify the type of cost to which you want the field to refer, for example the cost of pending demand allocations only, the cost of scheduled allocations only, fixed costs only, etc. The default setting here displays the total cost of all allocations, excluding any satisfied demand.
Editable? Yes (consumable resource allocations only)

Cost rate

Description The lowest expenditure rate for permanent resources; the cost per unit for consumable resources; the rate of a time-based cost allocation.
Parameters
  • Data - whether you want to display information relating to the live data or to a specific baseline.
  • Specific task - specify specific task(s) on a multi-task bar to which you want the field to refer if required.
  • Override currency - the currency in which to display the information.
Editable? Yes (time or work-based cost allocations only)

Cost remaining

Description

The amount of a task or allocation's cost that remains to be completed. If a cost centre is specified but no allocation exists, entering a figure into a cell for a task creates an allocation of the cost centre; if you enter a zero amount against an allocation, the allocation is deleted unless the Remove cost allocations if value is set to zero check box on the Spreadsheet tab of the Options dialog is cleared.

 

If no cost centre is specified (so that the field relates to costs from all cost centres):

Description An allocation's expenditure cost centre.

Income

Net

Description

The difference between the total cost and the total income of a task or allocation. This is effectively the difference between the planned total cost and the planned total income, as it does not take account whether costs or income have actually been incurred yet.

  • If you enter an amount against a "cost"-type allocation, the amount is negated and set as the net value of the allocation. For example, if you enter a net amount of £456 against a "cost"-type allocation, the allocation is set to £-456; if you enter a net amount of £-25 against a "cost"-type allocation, the allocation is set to £25.
  • If you enter an amount against an "income"-type allocation, the amount is set as the net value of the allocation. For example, if you enter a net amount of £456 against an "income"-type allocation, the allocation is set to £456; if you enter a net amount of £-25 against an "income"-type allocation, the allocation is set to £-25.

Net remaining

Description

The difference between the total cost and the total income of a task or allocation that remains to be completed.

  • Data - whether you want to display information relating to the live data or to a specific baseline.
  • Specific task - specify specific task(s) on a multi-task bar to which you want the field to refer if required.
  • Cost centre - the cost centre about which you want to display information.
  • Progress period - the progress period up to the report date of which you want to display information.
  • Rolled/Direct - whether to display directly-allocated values or rolled up values (for parent tasks only).
  • Override currency - the currency in which to display the information.
  • Cost type - specify the type of cost to which you want the field to refer, for example the cost of pending demand allocations only, the cost of scheduled allocations only, fixed costs only, etc. The default setting here displays the total cost of all allocations, excluding any satisfied demand.
