Creating recurring tasks or milestones

There might be some tasks in a project which recur at regular intervals. For example, there might be a weekly project team meeting or a delivery of stock every month. Instead of drawing each of these tasks individually, you can create them all at the same time.

You can create recurring tasks or milestones on selected bars, or insert one task or milestone on several bars. For example, you might want to create a milestone at the end of each bar or you might need to add an extra task between existing tasks on a number of bars.

To create recurring tasks or milestones:

  1. Select the bars on which you want to create the recurring tasks or milestones.

If there are tasks on the selected bars, the new tasks or milestones will be inserted after the last task on each bar. Select tasks instead of bars to insert the new tasks or milestones after specific tasks rather than at the end of the bar.
  2. On the Home tab, in the Insert group, click Recurring Task. The Recurring Task/Milestone dialog appears.
  3. Specify whether you want to insert a recurring task or milestone in the Task Type group.
  4. If you have chosen to create tasks, enter the task duration in the Duration field.
  5. Specify the time period you want to leave between each new task or milestone and the tasks that precede them in the Delay field. For example, if you are creating tasks that represent weekly meetings, enter 1w.
  6. If one or more of the selected bars does not currently have a task on it, enter the date on which you want the first recurring task to occur in the Start Date field.
  7. Enter the number of tasks or milestones that you want to add on each selected bar in the Number field.
  8. Enter the name for the tasks or milestones in the Task Title field.
  9. Click OK.

Once the tasks or milestones have been created, you can name, link and edit them in the same way as tasks and milestones that you create directly in the bar chart or the spreadsheet.
