Using print profiles to save your print settings
A print profile is a saved set of print options. For example, you might use different print options with each printer on your network, or different print options with each border file that you use. By saving your print options in a print profile, you do not need to reset them every time you print to a particular printer or use a particular border to get the print settings that you want.
Each project has a default print profile, and each user within a project has their own default print profile which cannot be accessed by other users in the project. To share a print profile with other users in the project, you must save the profile as a named print profile, as explained below.
When you make changes to your print options, the options are saved in the current profile. When saving the current print settings to your user profile, the Page range, Copies and Print (odd/even pages) options on the Output tab of the Print dialog are set back to the default when you next open the dialog, so any changes that you make to these settings are lost. When saving the current print settings to a named profile, all the options are saved. So, for example, to save a profile where only the first page is printed, you must save the print settings to a named profile.
To save the current print settings into a named print profile
- Click the Details tab on the Print dialog.
- Click Save As in the Print profile group. The Save Profile dialog appears.
- Enter a name for the profile, then click OK to close the dialog.
To use a particular print profile once you have saved it, select the profile from the field in the Print profile group. The options on the Print dialog are updated immediately to reflect the settings saved in the print profile.
To delete a print profile, select it from the field in the Print profile group, then click Delete. You cannot delete
You can also create, edit and delete print profiles in Library Explorer.
Associating print profiles with views
You can associate a print profile with each view within a project, so that the same print profile is always used by default whenever you print a particular view.
To associate a print profile with a view:
- On the View tab, in the Views group, click the View dropdown and select More Views. The More Views dialog appears.
- Select the view with which you want to associate a print profile and click Properties. The View Properties dialog appears; if you are editing the properties of a calendar view, the Calendar View Properties dialog appears.
- Select the print profile that you want to use by default when printing the view in the Default print profile field.
The print profile that you select here becomes the current print profile when you switch to the view. If you select Current print profile in this field, the current print profile is not changed when you switch to the view. This means that if you switch from a view that is associated with a named print profile to one that is associated with the current print profile, the print profile that is associated with the first view is used for subsequent printing - as it is now the 'current' print profile. - Click OK.
