Password-protecting projects

Each user within a project can password-protect their access to the project so that nobody else can log in as them unless they know both their username and password. If you have introduced any subordinate users to a project, you can also password-protect their access to the project.

Before you change the password of a subordinate user, make sure that they are logged out of the project, and save your changes before they log back into the project.

To password-protect your access to the active project, or the access of any subordinate users that you have introduced to the project:

  1. Click the File tab, click Properties, then click Passwords. The Passwords dialog appears. You can also access the Passwords dialog by editing the properties of a user and clicking Change Password on the User Properties dialog, or by right-clicking the user in Library Explorer and selecting Change Password.
  2. Click the Password tab. If you accessed the dialog via the File tab of the Backstage view, the Change password for field displays the username with which you logged into the project, and you can change your own password or the password of any subordinate users that you introduced to the project. If you accessed the dialog by editing the properties of, or right-clicking a specific user, the Change password for field does not appear and you can only change the password of that user.

    The other fields on this dialog show asterisks (*) in place of passwords. Passwords are never displayed on screen; an asterisk is displayed for each letter or number you enter as part of the password. If you forget your project password, you are locked out of the project although other users you may have introduced can still access it. If you forget your project password and you are not the top-level user, you can ask the user who introduced you to the project to reset your password.
  3. If the field appears, select the user whose password you want to change in the Change password for field.
  4. Delete the asterisks in the Current password for... field and type the current password of the top-level user; if this user does not have a current password, just delete the asterisks in the field.
  5. Delete the asterisks in the New password for user field and type the new password for the selected user.
  6. Delete the asterisks in the Confirm new password for user field and type the new password again.

If you have made a mistake when entering the new password, you cannot OK your changes. When you or the subordinate user next opens the project, you must enter the new password to access the project.

You can remove your password by clearing the asterisks in the New password for user and Confirm new password for user fields. Only the top-level user can remove their password from a project. This means that if a subordinate user saves the project to another file, the project is still password-protected and cannot be opened without the correct password.

In Asta Enterprise, if the server has a username and password, then a Server tab is also available on the Passwords dialog. You use this tab to change the password with which you log onto the server.
