Inserting function fields into text annotations

You can use function fields to display non-standard project information in annotations. For example you could use them to display:

  • The difference between two dates.
  • What a task's finish date would be if you added a certain duration to the task.
  • Conditional text, so that the annotation displays different text in different circumstances. For instance, before a certain date an annotation might say 'On Target' but after a certain date the annotation might say 'Behind Schedule'.

To insert a function field into a text annotation:

  1. Create a new text annotation or double-click an existing annotation, then position the text insertion bar where you want to insert the field.
  2. Right-click, then select the Functions submenu to view a list of available function fields.

    As you move the cursor up and down over the functions in the menu, the syntax of each field is displayed in the status bar at the bottom of the window.
  1. Select the function field that you want to insert.

    The formula of most function fields require you to enter information to specify precisely what information is displayed.

  2. Complete the formula of the function field if required.
