Copying user access rights and options to subordinate users

If you have set up your user library as a hierarchical list of folders and users - with a folder representing a 'parent' user - you can copy a parent user's access rights and options to one or more of their subordinate users. This is done by:

  • Assigning the subordinate users to the same security group as the selected user.
  • Copying the selected user's options to the subordinate users. The user options that are copied are those fields that can be viewed as columns in the Library Explorer list view when viewing the Users library, by right-clicking a blank part of the list view and selecting Show All Fields.

Provided you set up your user hierarchy in a structured way, configuring access rights and options for each parent user and copying them to subordinate users means that you do not need to configure access rights and options for each individual user.

For example, if you structure your user hierarchy into folders called 'National Planners', 'Regional Planners' and 'Site Managers', you could configure the access rights of these user folders by assigning each folder to an appropriate security group and configure the user options for each user folder by editing the columns in the list view of Library Explorer. You could then copy the access rights and options from each user folder to the subordinate users.

You can copy access rights and user options to all the selected user's subordinate users, or to specific subordinate users.

To copy a user's access rights and options to one or more subordinate users:

  1. Set up your user hierarchy in a structured way.
  2. Assign each user folder to an appropriate security group.
  3. Configure the user options for each user folder by editing the columns in the list view of Library Explorer.

    Right-click a blank part of the list view when viewing the Users library and select Show All Fields to display all available columns.
  4. Right-click a user folder in Library Explorer and select Clone Rights and Options to Sub-Entries. The Clone Rights and Options dialog appears.
  5. Select the All sub-entries check box if you want to copy the selected user's access rights and user options to all the selected user's subordinate users, or clear the check box to copy access rights and user options only to those users that you select in the field beneath this check box.
  6. If you have cleared the All sub-entries check box, select the individual users to which you want to copy the selected user's access rights and user options.
  7. Click OK.

If any of the selected users are currently locked to another Powerproject user - for example, if someone else is currently editing the user record - the access rights and options will not be copied to that user and you will be alerted that the update has failed for that user.
